Terms & Conditions

Definitions:

For the purpose of these Terms and Conditions, the term “Stay” refers to any accommodation services booked through Fairfield. The term “Adventure” refers to any tour services booked through Fairfield including single and multi-day itineraries. 

MAKING A BOOKING WITH FAIRFIELD:

To book a Stay or Adventure with Fairfield, fill out the “Contact Us”, “Book an Adventure”, or “Accommodation Booking” form and click submit. Alternatively email the details of your request to info@fairfield.mn, hovd@fairfield.mn, or tours@fairfield.mn. A member of the Fairfield team will contact you to confirm your booking or consult regarding your travel plans.

How to confirm your booking with Fairfield?

To confirm your Stay at Fairfield a confirmation email must be received from the Fairfield team. 

To confirm your Adventure with Fairfield a 50% deposit of total booking cost is required. 

Balance of payment is required prior to Adventure commencement or upon arrival at Fairfield. 

Payment can be made either of the following ways: 

Bank Wire Transfer to Fairfield bank account (payer is responsible for all bank transfer charges; please ask the Fairfield team for bank account details).  

In-person by your VISA / Mastercard (secure payment system, Fairfield will not charge guests for credit card processing fees, guests will only be charged as invoiced).

All bookings are subject to cancellation if deposit is not received or final payment not made.

Booking cancellation & cancellation charges:

A written notice is required for any cancellations, to be sent to info@fairfield.mn, hovd@fairfield.mn, or tours@fairfield.mn.

 

Booking deposit is only partially refundable upon cancellation. Booking cancellation policy varies depending on the type of booking made.

 

In most cases, a non-refundable 20% fee of your deposit is deducted if you cancel your Adventure 90 days prior to the commencement of your booking. Travel insurance from your chosen insurer is essential.

 

Refund:

No partial refund will be given for unused accommodation rooms, unfinished meals, unattended Adventures or other unused arrangements for any reason whatsoever. Credit will not be given for unused services.

 

Responsibilities of guests on Adventures with Fairfield:

As an Adventure guest, you have certain responsibilities to Fairfield and your fellow travellers. You are expected to understand the conditions of your itinerary and ensure it aligns with your interests and abilities. Additionally, you must act in a respectful manner, following the customs and traditions of Mongolia. If a guest’s behavior becomes disruptive or poses a risk to themselves or others, Fairfield reserves the right to ask them to leave the trip.

If a guest is asked to leave a Fairfield Adventure they are responsible for the costs and expenses already incurred during the Adventure and any expenses required to return them from rural location, and any penalties for services terminated with contractors. 

Guests are also responsible for the payment of any additional services not included in the base itinerary, whether requested before or during their Adventure.

Guests are required to have adequate travel insurance to participate in Fairfield Adventures. The insurance contract must be compatible with the risks, specific activities and schedule of the selected Adventure. This includes insurance against sudden illness, injury and accident risks, and emergency services and transportation arrangements. Guests are requested to supply Fairfield with a copy of their Insurance contract prior to Adventure commencement. Fairfield is not responsible for guests' choice of the insurance company, the insurance terms, or any costs not covered by the insurance payment.

 

Responsibilities of Fairfield regarding Adventures:

The responsibilities of Fairfield are strictly limited. As a tour operator, Fairfield organises, promotes, and sells tour programs consisting of certain travel services, including tour guide services, surface transportation, domestic air transportation, excursions and accommodations, which may be purchased or reserved from various suppliers. Many suppliers providing services for our tour programs are independent contractors and they are not agents or employees of Fairfield. To the extent that we are involved in booking air transportation for you, we act as your agent and not as an agent for the air carrier. Fairfield will be responsible for willful acts commited by contractors for overland services. 

Fairfield is not responsible for any damage caused to guests due to their failure to perform, or for any loss or injury to the guests life, health (including mental health), documents, or belongings, caused by the guests own negligence, or during the guest’s free time, or because the guest departed from an Adventure itinerary at their own will. 

Fairfield will be responsible for any fluctuations in currency devaluation, park fee increases, taxes, or fuel surcharges after full booking payments have been received. Before receiving your booking deposit, Fairfield reserves the right to correct promotional or pricing errors, or to increase the Adventure price in the event of cost increases due to changes in airfares, currency devaluation, park fee increases, taxes, or fuel surcharges.   

Fairfield is not responsible for any expenses caused by terrorist attacks, political unrest, military operations, war, natural phenomena (such as but not limited to earthquake, landslide, fire, flood, snow or dust storm, heavy rain, lightning, heavy fog, strong whirlwinds, animal attacks), infectious disease outbreak, cancellations or delays of airlines and train companies, or decisions of a state body.         

 

Fairfield is not responsible for any unauthorised extra services which the guest organises with any of Fairfield’s contractors, including local guides or drivers, or travel beyond confirmed itinerary. In these cases, we do not accept any responsibility for additional expenses (such as but not limited to; shopping, extra activities and destinations). 

 

However, Fairfield will work to the best of its ability to help guests navigate difficult conditions, including seeking compensation for any damages or losses incurred. Fairfield’s priority is to provide a safe and exceptional service to all guests. 

 

Fairfield reserves the right to change the sequence of planned itineraries as necessary due to weather or travel conditions.

Meals on Adventures with Fairfield:

For Adventures that include meals within the package, some dietary requests can be catered for, please contact us to discuss further. Adventure guests are required to notify Fairfield at least 30 days prior to Adventure commencement to confirm dietary requests. 

 

Single Supplement on Adventures with Fairfield:

Single supplement (individual accommodation) for hotel rooms and ger (yurt) accommodation at tourist camps in the countryside may be available with additional charges. Requests for a single supplement must be made at time of booking.   

        

Tips and taxes:

Tipping in Mongolia is not routinely expected, but is practised on occasion.Tips to the staff, guides and drivers are not included in Adventure or Stay prices and are left to your discretion.  Fairfield is committed to paying all our staff and contractors fair rates. 

 

If you choose to tip, please be thoughtful to avoid undermining cultural norms and expectations. Ask the Fairfield team if you are unsure. All service and government taxes in Mongolia are included in Adventure prices already, unless specified otherwise.
